If an off-the-shelf product already fits the way your business works, use it: it is quicker to start and you share the cost with every other customer. A custom system is worth it when your process does not fit any product, so your team ends up running the business on spreadsheets, WhatsApp and workarounds instead. At Exactflo, a custom system starts from S$3,000 for implementation, plus a monthly fee based on usage, and is typically ready for testing in 2 to 4 weeks.
The difference in one table
| Off-the-shelf software | Custom system | |
|---|---|---|
| Fit | You adapt your process to the product | Built around the process you already run |
| Start | Sign up and start setting it up | Scoping and build first (2 to 4 weeks at Exactflo) |
| Cost | Subscription, often per user, plus add-ons | Implementation fee, plus a monthly fee for running it |
| Changes | Wait for the vendor, or work around it | Add or change features for your business |
| Connections | The integrations the vendor offers | Connected to the tools and channels you use, such as WhatsApp |
| Main risk | Outgrowing it, or paying for what you don't use | Depending on the team that built it |
When off-the-shelf is enough
Plenty of business software works well as a product, and building your own would waste money. Off-the-shelf is usually the right choice when:
- The job is the same in every business. Accounting, payroll filing, email and file storage work much the same way everywhere.
- The product already matches how you work, without staff keeping extra spreadsheets on the side.
- You need it this week and can accept the product's way of doing things.
- Only a few people use it, so per-user fees stay small.
A custom system does not have to replace these tools. It can sit next to them: for example, a custom booking and job system can connect to the accounting software or Google Sheets you already use.
Signs you have outgrown off-the-shelf software
- Staff keep spreadsheets next to the software because it cannot hold the information you actually need.
- The same details get typed twice, from WhatsApp into one tool, then into another.
- You pay for several tools that each cover part of the job, and none of them talk to each other.
- Reminders and follow-ups are still sent by hand, because the product cannot send them on WhatsApp from your records.
- You changed your process to suit the software, and the new process is worse for your customers or staff.
- Fees grow with every user you add, including users who only need one screen.
In our experience, many SMEs never got as far as off-the-shelf software. Most of the businesses we build for had no system at all before: they ran on spreadsheets, WhatsApp chats and paper, because no product they found fitted their process.
What a custom system gets you
- It fits the way you work. Your steps, your user roles and your approval points, not a generic template.
- One system instead of several. Customers, bookings, jobs, payments and reports live in one set of records, so nothing is typed twice.
- WhatsApp and AI connected to your records. Confirmations, reminders and AI replies to enquiries run from your real data, with staff able to take over at any time. See WhatsApp automation and AI automation.
- Start small, add later. Build the one workflow that matters most, then add modules once it is running well.
- Portals for the people outside your team, such as customers, parents or contractors, showing only what each of them should see.
Comparing the cost over three years
Comparing a monthly subscription with a one-off build fee is misleading. Compare what each option costs over the same period, for example three years:
Off-the-shelf: monthly fee × number of users × 36 months, plus add-ons, setup help and the other tools you still need.
Custom: implementation fee + monthly fee × 36 months.
Then add the cost that never shows up on an invoice: the hours your staff spend on workarounds, re-typing and manual follow-ups. Our workflow automation guide shows a simple way to count those hours.
At Exactflo, implementation starts from S$3,000. The price goes up with the size of the system (more features, more workflows) and is quoted per project. The monthly fee is based on usage. The AI automation cost guide explains what each part pays for.
The downsides of custom, and how to reduce them
- It costs more upfront. Start with the one workflow that costs your team the most time, and add the rest later.
- You cannot use it on day one. A typical Exactflo system is ready for testing in 2 to 4 weeks, then fixed and improved as your team uses it.
- You depend on the people who built it. Agree support, changes and the monthly fee in writing before the build starts.
- Who owns the code depends on the agreement. In most of our projects, Exactflo keeps ownership of the code, which is what keeps the upfront price low; you use the system under the monthly fee. Your business data can be exported. Check these points in any custom software agreement, whoever builds it.
- It is only as clear as your process. If two staff do the same job two ways, agree the right way first.
Custom systems we have built for Singapore SMEs
- Happify Piano Studio (music education). Lesson credits, attendance, WhatsApp payment reminders, payment approval, invoices and teacher salary calculation in one system, with portals for students, guardians and teachers.
- AMD, MGT and Prestigze Asia (workforce and operations). Staff profiles, job assignments, recurring shifts, WhatsApp reminders, attendance check-in, payroll and claims support, and an AI booking agent for enquiries.
- KKPL (interior fittings and furniture hardware). AI enquiry handling and lead routing, plus AI that reads delivery orders, updates stock and flags low stock.
- WERK (marketing and content production). A system that turns a campaign idea into AI-generated concepts, a storyboard and image and video prompts.

A quick checklist before you decide
- Write down the workflow you want to fix, step by step.
- Try the off-the-shelf products for that job. Can they do every step without a side spreadsheet?
- Count the users and the three-year cost of each option.
- Count the hours your team spends on workarounds today.
- For a custom build, get a written scope, the monthly fee, what support covers, who owns the code and how you can export your data.
- Start with one workflow either way.
Quick answers
Is custom software better than off-the-shelf software for an SME?
Not always. If an off-the-shelf product already fits the way your business works, it is quicker to start and usually cheaper. A custom system is worth it when no product fits your process and your team runs the business on spreadsheets, WhatsApp and workarounds instead. Many SMEs use both: off-the-shelf tools for standard jobs such as accounting, and a custom system for the workflow that makes their business different.
How much does a custom business system cost in Singapore?
At Exactflo, implementation starts from S$3,000, plus a monthly fee based on usage. The price goes up with the size of the system, such as more features or more workflows, and is quoted per project. A typical system is ready for testing in 2 to 4 weeks.
Do I own a custom system after it is built?
It depends on the agreement. In most Exactflo projects, Exactflo keeps ownership of the code, which keeps the upfront price low, and you use the system under the monthly fee. Your business data can be exported. Whoever builds your system, check who owns the code and how you can export your data before you sign.
Can a custom system work with the software I already use?
Often, yes. A custom system can connect to tools a business keeps, such as accounting software or Google Sheets, as long as the tool offers an API, a webhook or an export. Whether an integration is practical is checked during scoping.
