At Exactflo, AI automation for a Singapore SME starts from S$3,000 for implementation (a one-time fee), plus a monthly fee based on usage. More features mean a higher quote. A typical system is built and ready for testing in 2 to 4 weeks. Projects may qualify for Enterprise Singapore's EDGE grant.
The two parts of the price
AI automation is not a one-off purchase like a laptop. It is a system that runs your workflow every day, so the cost has two parts: building it once, and keeping it running.
| Part | When you pay | What it pays for |
|---|---|---|
| Implementation, from S$3,000 | Once, at the start | Scoping, design, development, testing and launch of your workflow |
| Monthly fee | Every month after launch | Hosting, maintenance, monitoring, support and continued access |
| WhatsApp and AI usage | As you use them | Messages and AI requests, billed by those platforms; we clarify these before implementation |
What the S$3,000 implementation fee covers
The implementation fee pays for building the system around the way your business already works. It covers:
- Scoping: you show us the workflow (a screen recording, an SOP or a walkthrough of the steps your team repeats) and we agree what the system will do.
- Design and development of that workflow as a working system.
- Testing with real scenarios from your business.
- Launch, so your team starts using it day to day.
S$3,000 is the starting point for a focused system. If the scope grows, the quote grows with it. You get the quote after we understand your workflow, before any work starts.
What the monthly fee pays for
Once the system is live, the monthly fee keeps it hosted, maintained, monitored and supported, and keeps your team's access running. It is based on usage, so it depends on the load:
- how many people use the system
- how many records it holds (customers, bookings, orders, jobs)
- how many messages it sends
- how many automated tasks it runs
A small team sending a few reminders a day pays less than a business running thousands of automated messages a month.
What makes a project cost more
The simple rule: the more features, the higher the price. These are the things that move a quote up:
- More modules. One workflow, such as payment reminders, costs less than a system that handles enquiries, bookings, inventory and reports together.
- More user roles. A system used only by your admin team is simpler than one with separate portals for staff, customers or parents.
- AI features. AI enquiry replies, lead qualification, document recognition and forecasting each add work.
- WhatsApp automation. Reminders and replies triggered from your records need message templates and set-up on the WhatsApp side.
- Integrations and reporting. Connecting to tools you already use, and building dashboards and reports.
- More automation rules. Each "when this happens, do that" rule is something to build and test.
A good way to keep the first project affordable is to start with the one workflow that costs your team the most time, then add to it once it is working.
How long it takes
A typical system is built and ready for testing in 2 to 4 weeks. From there we test it with your team using real scenarios, fix bugs and make enhancements as you use it. Larger systems with several user roles, AI, WhatsApp automation and reporting take longer; the timeline is confirmed after scoping. You can see each step on our process page.
Can the EDGE grant help pay for it?
It may. Enterprise Singapore's EDGE grant brings together the former EDG, PSG and MRA grants, so older articles that mention the Productivity Solutions Grant or the Enterprise Development Grant are describing schemes that now sit under EDGE.
Exactflo projects may qualify, but Enterprise Singapore decides whether a project is eligible and how much support it gets. Check with Enterprise Singapore before you count on a grant in your budget.
Questions to ask before you compare quotes
Quotes for AI automation are hard to compare because providers split the price differently. Ask every provider, including us:
- Which part is one-time, and which part is monthly?
- What does the monthly fee include: hosting, support, changes?
- Are WhatsApp and AI usage costs included or billed separately?
- Who owns the business data? With Exactflo, your business data belongs to you, and export arrangements are written into the project agreement.
- What happens after launch when something needs fixing or improving?
Quick answers
How much does AI automation cost for a Singapore SME?
At Exactflo, implementation starts from S$3,000 as a one-time fee, plus a monthly fee based on how heavily the system is used. Systems with more features, user roles, automation rules or integrations are quoted higher. The final quote is given after we understand your workflow.
What does the monthly fee cover?
The monthly fee covers hosting, maintenance, monitoring, support and continued access to the system. The amount depends on the load: the number of users, records, messages and automated tasks. WhatsApp and AI platforms bill by usage, so those costs may be separate, and we clarify them before implementation.
How long does it take to set up AI automation?
A typical system is built and ready for testing in 2 to 4 weeks. After that we test it with your team using real scenarios, fix bugs and make enhancements. Larger systems with several user roles, AI, WhatsApp automation and reporting take longer, and the timeline is confirmed after scoping.
Can the EDGE grant pay for part of an AI automation project?
Projects may qualify for Enterprise Singapore's EDGE grant, which brings together the former EDG, PSG and MRA grants. Enterprise Singapore decides whether a project is eligible and how much support it gets, so check with Enterprise Singapore before you count on it.
